Adams and Reese LLP is seeking a Legal Secretary to perform a variety of routine and complex secretarial, paralegal and administrative responsibilities in support of corporate and litigation defense attorneys practicing in real estate, education, construction litigation, entertainment law, and banking and finance litigation.
RequirementsEssential Duties and Responsibilities:
• Composes, types, and edits a variety of correspondence, reports, memoranda, etc.
• Draft pleadings, issue subpoenas and other material requiring judgment as to content, accuracy, and completeness.
• Prepares, processes, and proofreads legal documents.
• Mails, faxes, or arranges for delivery of documents to clients, witnesses, opposing counsel and court officials.
• Maintains manual and electronic calendars.
• Makes travel arrangements.
• Maintains filing systems, control records and indexes using independent judgment.
• Receives and screens incoming mail. Makes proper calendar notations and obtain necessary information to assist attorney in his/her response to it.
• Receives and screens phone calls; records and delivers messages and provides callers with information as authorized by attorney.
• Prepares/edits client invoices and enters attorney’s timesheets.
• Schedules appointments, and performs other administrative and clerical duties.
• Review title commitments and surveys to identify restrictions or exceptions in land use associated with closing commercial transactions.
ï‚§ Order surveys and research court and administrative agencies to determine status of property titles, liens, surveys, and mortgages, etc.
• Review legal descriptions for accuracy and compare against other real estate documents
• Prepare settlement statements and manage fund distributions
• Attend closings and assist with the execution of documents; record executed documents and prepare post-closing binders
• Coordinates and participates in document production.
• Prepares deposition summaries.
• Communicates with clients, court personnel, experts, attorneys and others via telephone, in person, and in writing, obtaining and giving information as directed.
• Performs other duties as assigned.
Education and Experience Requirements:
High School Graduate or GED equivalent.
At least three years of experience as a legal secretary.
Ability to communicate effectively both orally and in writing.
Ability to organize and multi-task effectively.
