Overview:

The Office Administrator is responsible for the business administration of the local office, including all support functions and non-attorney staff coordination. This position will manage the routine operations of the office assigned, including human resources, financial planning and controls, facilities and information systems.

Full Job Description:

Responsibilities:

Facilities

Issue building identification and office keys; Maintain personnel directory;
Acts as Liaison between firm and landlord regarding any facilities projects, maintenance requests, or issues;
Acts as safety coordinator and trains employees on emergency procedures.
Telecommunications

Administer voice mail system;
Train employees on telephone system;
Initiate and maintain communication between firm and telephone vendors.
Computer Systems

Oversees all technology within office;
Coordinates Technology upgrades and maintenance with main office IT department, consultants and vendors.
Budgeting

Supervision of annual budget;
Prepares and monitors annual budget;
Oversees purchases of equipment, maintenance contracts and office supplies.
Human Resources - Under the direction of Firm HR Director:

Communicate Policies and Procedures, enforcing same;
Conduct interviews and assist with selection of staff employees;
Conduct New Hire Orientation;
Coordinate Employee Benefits issues with Main Office;
Train new employees;
Coordinate and provide feedback on annual staff evaluations;
Identify and document performance issues and work collaboratively with supervising Attorney, Local Managing Shareholder and/or Firm HR Director to resolve through counseling, performance improvement and/or terminations.
Committees and Meetings

Attend Shareholders' meetings
Chair Staff meetings
Plans Office Social Functions
Assists with local Marketing functions as required
Manages special projects as assigned by COO or Managing Shareholders

Computer Skills / Office Equipment:

Proficient in all Microsoft applications, including but not limited to Word, Excel, PowerPoint, Outlook, Document Management System, expense and billing systems.
Able to operate all common office equipment, such as multi-line phone, calculator, blackberry, cell phone, copier, fax, scanner, audio visual equipment.
Education / Experience:

Degree and four or more years of Office Management, HR experience or 6 years combination of experience and education. Candidates must be professional, have experience in managing others, including directing workload, performance management, training, event planning, staffing and recruitment. Excellent oral and written communication skills are essential.
